This policy explains what personal data we collect through zelarproperties.co.uk and when you book or stay with us directly, why we collect it, who we share it with, and what rights you have under UK data protection law, including the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018. - Information we collect
We may collect the following information:- Identity and Contact Data: your name, email address and phone number.
- Booking Data: the property, dates, number of guests, and any special requests or notes you give us.
- Payment Data: processed on our behalf by our payment provider, Stripe. We see confirmation that payment was made but do not store your full card number.
- Identification Documents: We may collect a copy of an identification document, such as a passport or driving licence, to verify your identity and confirm that the booking details and guest information provided to us are accurate.
- Communications: messages you send us through the website, by email, or through our booking platform, and our replies.
- Technical and Usage Data: your IP address, browser and device type, and how you use our website, collected through cookies and similar technologies (see section 5).

Only where you have given your consent. You can withdraw this consent at any time by contacting us or using the unsubscribe link in any marketing email.
To keep our website secure and understand how it is used
Necessary for our legitimate interests in running and improving our website, and, for non essential cookies, your consent given through our cookie banner. - Cookies
Our website uses cookies and similar technologies. Essential cookies are needed for the website and booking system to work and cannot be switched off. Where cookies are not essential, we will ask for your consent before setting them, and you can change your choice at any time through the cookie settings on our website or your browser settings. - Who we share your data with
We share personal data only where necessary, with:- Hospitable, the software platform we use to manage bookings, guest communication and property operations.
- Stripe, our payment processor, to take and process payments securely.
- Cleaning and maintenance providers, where necessary to facilitate your stay, maintain the property or arrange access.
- Professional advisers such as our accountant, where necessary for our business
- HMRC, law enforcement or other authorities, where we are legally required to do so.
We do not sell your personal data to third parties.
- International transfers
Some of our service providers, including Stripe and Hospitable, may store or process personal data outside the UK, including in the United States. Where this happens, we rely on safeguards recognised under UK data protection law, such as the UK’s data protection adequacy regulations or standard contractual clauses, to ensure your data continues to be protected. - How long we keep your data
We keep booking and financial records for as long as required by law, generally six years after the end of the relevant tax year, to meet our obligations to HMRC. We keep other personal data, such as messages and enquiry details, for 36 months from your last contact with us, after which it is deleted or anonymised, unless we need to keep it for longer to resolve a dispute or comply with the law. - Your rights
Under UK data protection law, you have the right to:- ask us for a copy of the personal data we hold about you
- ask us to correct inaccurate or incomplete data
- ask us to delete your data, in certain circumstances
- ask us to restrict how we use your data, in certain circumstances
- object to us using your data for direct marketing, or on the basis of legitimate interests
- ask us to move your data to another organisation, in certain circumstances
- withdraw consent at any time, where we rely on consent, without affecting anything we did before you withdrew it

- Keeping your data secure
We use appropriate technical and organisational measures to protect your personal data against unauthorised access, loss, or misuse, including relying on established, secure providers such as Stripe and Hospitable for payment and booking data. No method of transmission or storage is completely secure, but we work to protect your information to a high standard. - Children
Our website and booking service are not directed at children. Bookings may only be made by adults aged 18 or over.
- Changes to this policy
We may update this policy from time to time, for example to reflect changes in our services or the law. The current version will always be available on our website, and we will update the effective date at the top of this page when we make changes.
